ACCOUNTING
| Keeping proper books in terms of normal accounting principles. | |
| Preparing an annual estimate of income and expenditure and of a schedule of proposed monthly levies for submission to the Board of Trustees and the Body Corporate for their approval. | |
| Submitting to the trustees monthly schedules of income and expenditure of the body corporate and details all owner levy statements. | |
| Submitting monthly Income statements as well as a balance sheet. | |
| Periodically reviewing the estimate of expenditure. | |
| Operate an independany current account (cheque account) on behalf of the complex. | |
| Opening saving accounts when necessary. | |
| Arranging the annual audit with the auditor of the body corporate, and, on completion thereof, submitting the audited statements to the members of the Body Corporate. |
ADMINISTRATION
| Assisting and advising the Board of Trustees on replacement values and on improvements for insurance purposes, and arranging for valuations to be furnished where required | |
| Negotiating for the insurance of buildings and improvements and any other insurance that the Body Corporate may require but excluding the authority to enter into any contract on behalf of the Body Corporate. | |
| Arranging fidelity guarantee insurance on behalf of the Body Corporate. | |
| Paying salaries, wages, PAYE/SITE, UIF and Workman's Compensation on such date and in the manner as the Managing Agent may determine. | |
| Verifying and payment of all accounts. | |
| Collecting levies, by way of the Managing Agent's deposit system, and other income, and the accounting thereof to the Board of Trustees. | |
| Keeping records of all correspondence for and on behalf the body corporate. | |
| Attending to the collection of arrear levies, and instituting legal action when so instructed by the Board of Trustees. |
MEETINGS
| Arranging the venue for the Annual General Meeting of the body corporate. | |
| Attending to the preparation of proxies, nominations and agendas for the Annual General Meeting. | |
| Attending the Annual General Meeting of the Body Corporate. | |
| Assisting and advising the Board of Trustees on procedural matters, special general meetings, quorums, proxies, resolutions and voting rights. |
GENERAL
| Assisting and advising the Board of Trustees with regard to the enforcement of the rules adopted by the body corporate, should the Managing Agent be so instructed by the Board of Trustees. | |
| Conducting a periodic inspection of the property with a view to advising and assisting the Board of Trustees with regard to the maintenance of the optimum condition thereof. |
